Waitlist privacy notice.

What happens to the details you give on the waitlist form, who is responsible for them, and your rights. For what happens to faces at a Socioculus door, see Your rights.

Who is responsible

Socioculus is not a company yet. Until it is formed, the person who runs Socioculus is responsible for your details (the data controller). A developer helps them run this website and our records tool.

To contact them, write to our email address (to be added), or reply to any email from us.

The company name, address and registration number will appear here when the company is formed and registered. We have not appointed a data protection officer yet.

UK GDPR Article 13(1)(a) and (b).

What we collect

What you write on the form: your business name, your name, your email address, your phone number if you give one, your postcode area and your message. We also note the time you signed up.

To stop floods of sign-ups, the website remembers your internet address for up to one hour. It is not kept with your details.

Why we use it

Only to contact you about the Socioculus pilot: to confirm your sign-up, to tell you how many businesses near your postcode area have joined, and to contact you before the pilot opens near you.

We do not send marketing, and we will never sell your details.

Article 13(1)(c).

Our legal reason

Our legitimate interest in replying to businesses that asked us to contact them about the pilot. You asked, and you can tell us to stop at any time.

The confirmation email is a message about your sign-up, not marketing. That is why the form has no box to tick.

Article 6(1)(f) and Article 13(1)(c) and (d). Privacy and Electronic Communications Regulations 2003, regulation 22, for marketing emails.

Who gets your details

The person who runs Socioculus, and the developer who helps them.

Discord, a chat service. Each sign-up arrives as a message in our private channel.

Our own records tool, on a computer in the UK. It keeps your details encrypted.

Resend, an email service. It keeps our waitlist, without your message, and sends our emails.

Amazon Web Services, which hosts this website on a computer in London. The form passes through it, and our code stores none of your details there.

Cloudflare, a network that every visit to this website passes through first, to protect it. The form passes through it on the way to us.

Nobody else gets them.

Article 13(1)(e).

Sending them to the US

Discord, Resend, Amazon Web Services and Cloudflare are based in the US. Each says on its own website that it takes part in the EU-US Data Privacy Framework. Discord, Resend and Cloudflare also say they take part in its UK Extension, often called the UK-US data bridge. UK law treats a transfer to a US company on the UK Extension list as safe. You can check the list at dataprivacyframework.gov.

Article 13(1)(f). The Data Protection (Adequacy) (United States of America) Regulations 2023, regulation 3.

How long we keep them

Until you ask us to delete them, or for 12 months after you sign up if you have not joined by then. If you join, the member agreement will say how long we keep them. When we delete your details, we delete them from every place listed above.

Article 13(2)(a).

Your rights

You can ask us for a copy of your details, and ask us to correct them, delete them, or stop using them for a while. You can object to our use of them, and then we stop and delete them.

It is free. Reply to any email from us, or write to our email address (to be added). We reply within one month.

Articles 12, 13(2)(b), 15, 16, 17, 18 and 21.

How to complain

Tell us first: reply to any email from us, or write to our email address (to be added). We acknowledge every complaint within 30 days, and we tell you what we did.

If you are not happy with our answer, you can complain to the regulator, the Information Commission (still known as the ICO), at ico.org.uk or on 0303 123 1113.

Article 13(2)(ca) and (d). Data Protection Act 2018, sections 164A and 165.

Do you have to give them?

No. No law or contract asks for them. Without an email address we cannot put you on the waitlist. The phone number and the message are up to you.

Article 13(2)(e).

Decisions by software

None. No decision about you is made by software alone.

Article 13(2)(f).
